Personal data gathering and protection statement

We are committed to protecting our participants’ personal data. We collect only the essential basic information about our participants that is necessary to fulfil our obligations. We inform participants how their information is used and regularly give them a choice about its use, including the option to have their name included in or removed from lists used for marketing campaigns.

All participant information is strictly protected and is available only to the staff who need it to do their job. All our staff and business partners are responsible for following the principles of confidentiality.

Data controller

What we collect and why

• Registration data: first and last name, email address, institution/affiliation, the chosen conference, registration category and add-ons, and, where you submitted one, your abstract/proposal. We use this data to register you, to organise the conference and to contact you about your registration.
• Payment data: the amount, the date and the status of the payment. Card details are entered only on the secure page of Monri Payments. We never receive, see or store card numbers.
• Invoice data: data needed to issue the invoice, which we keep as long as accounting law requires.

Marketing

We send news about future events only if you ticked the optional checkbox for this on the registration form. Registration does not depend on that choice. You can withdraw your consent at any time by writing to the email address above, and we will remove you from the mailing list.

Sharing data

We do not sell your personal data and do not pass it to third parties for their own marketing. We share data only with:

• Monri Payments, to process the card payment;
• our website hosting and email service providers, only as needed to run the registration;
• public authorities, where the law requires it.

Without your consent, we do not give your personal data to third parties to use for their own purposes.

Retention

Registration data is kept for as long as needed to organise the conference and for the period required by law. Invoices and payment records are kept for the period required by accounting regulations.

Your rights

You may ask for access to your personal data, for it to be corrected or deleted, or for its processing to be restricted. You may also withdraw consent you have given. Send requests to the email address above.

This website uses TLS encryption. Payment pages are protected as described on the Payment security page.
